Separating illustration review from approval of a travel note (7 อ่าน)

An illustrated trip-note draft can look finished while the accompanying information is still being checked. How do you keep the review status of an illustration separate from approval of the travel information? I am asking about a small visual handoff convention, not about booking, visa requirements, train schedules or safety advice.
For a hypothetical example, imagine a station-guide character holding a small bag beside a sample note card. Someone might want to inspect whether the bag remains distinct from the coat. The illustration could then be revised without changing the note's wording. No real trip, booking or document check is being reported in this example, and no particular image has been presented as having passed a test.
Sprite Maker is the project-associated example behind this question. Its browser-based ai sprite generator sits alongside local pixel editing and PNG export. The local editing and export path is free; AI generation requires sign-in and credits, with introductory allowances or paid options possible. This post is associated with that project and AI-assisted, not an independent traveler or customer endorsement.
Would you keep a role brief, a working file, the exported PNG and a short review note in one packet? Or would separate candidate, revised and inspected labels be easier to understand? I would especially like a convention that prevents a recipient from treating an attractive illustration as evidence that unrelated travel details have also been verified.
One possible manual note could name the file, describe the visual boundary being inspected and state the next decision. If the inspection has not happened, the note should remain a request rather than a claimed result. These are suggested human labels, not a built-in approval or tracking feature attributed to Sprite Maker.
The next person might ask for another view, a narrower edit or a separate check of the note's content. I would keep that request attached to the correct file label rather than quietly replacing an export and assuming that everyone knows which version is current. Receipt of a file and approval of its contents should also remain different states.
No engine integration, animation continuity, rights clearance or readiness guarantee is asserted. The purpose is a practical handoff note that makes the remaining uncertainty visible. What small naming or review convention has been useful for keeping the illustration decision understandable without making the process unnecessarily complicated?
